To write an official letter, write the return address, the date, the inside address and a salutation. Write the body of the letter. Finish the letter with the closing, a signature and your printed name.
- Write the return address
Write your address so the recipient can easily contact you. Skip a line after it.
- Write the date
Write the date on which you are writing the letter. Write the date in the format: month, day, year. Then skip a line.
- Write the inside address
Write the address of the letter's recipient. Include the person's name, title and the company name. Skip the next line.
- Write the salutation
Write "Dear," and then the person's title and last name. If the recipient's name is unknown, write "To Whom It May Concern." Put a colon after the salutation. Skip the next line.
- Write the body of the letter
Write the content of the letter in the body. Skip a line between each paragraph. The paragraphs should be single-spaced. Be professional and polite. You may include a subject line above the body.
- Write the closing
Let the reader know you are finished with the letter by writing "Sincerely," "Thank You" or another closing remark. Follow it with a comma.
- Sign the letter
Skip three or four lines to leave room for the signature. Sign your name in blue or black ink.
- Print your name
Print your name under the signature. You may include your title underneath it.
