When writing a reply letter, include a heading, salutation, body, closing and signature. The body of the letter should answer the questions that you've been asked or confirm information. Then ask if the information you've given is fine and give the recipient a chance to contact you.
- Write the heading
The heading should include your address, the date and the recipient's information. Skip a line between each of these sections. The heading should have the recipient's name, title, company name and address.
- Write the salutation
The salutation begins "Dear" followed by the recipient's name. Depending on how formal the letter is, you may use the person's surname or first name. Skip a line before and after the salutation.
- Write the body of the letter
The body of the letter should be single-spaced with a skipped line between paragraphs and after the end. The content of the body should say what you are responding to. Answer the questions you were asked or confirm the requested information. Then ask if the information you've written is fine and give the recipient a chance to contact you again.
- Write the closing and sign
The closing usually starts with "Sincerely" or "Thank you." After that phrase, put a comma. Sign the letter.
